What Are the Working Hours of My Virtual Assistant?

Your virtual assistant works a full-time schedule, 40 hours a week, Monday through Friday. You pick the start and finish times within reason, somewhere within a few hours of a standard 8-to-5, in your time zone.

That covers most firms. If you need weekend or late-night coverage, that runs on a separate model.

The Flexibility of Remote Teams: Why Time Zones Are a Strategic Asset

Your team works in Monterrey, in U.S. time zones, so the hours line up with your day. By default, the person you hire runs on your schedule.

Within that standard week, you can slide the hours a few hours earlier or later, whatever fits your day best. Some firms keep their virtual assistant on the same hours as the core team, so questions get answered while they’re still fresh and handoffs happen in the moment. Others start them a few hours ahead, so the inbox is sorted before they sit down. You can also run them a few hours later, so email and calls right after closing still get picked up the same day.

How to Set Up Your Schedule

Setting your schedule is straightforward. It comes down to three things.

1. Where do you need the most help?

Look at your week and find the gaps. Maybe you need someone to answer the phone during business hours, or to clear backend work in the evening. Knowing that first makes the rest easy.

2. Pick your model

We offer two models. Standard is a 40-hour week, Monday through Friday, in your time zone, with the start time set within a few hours of a regular 8-to-5 shift. Custom is for weekend or late night hours when your business needs coverage outside those windows.

NOTE: Those hours are priced differently, just as weekend or late night shifts cost more in the U.S.

3. Set a daily overlap window

Even on a shifted schedule, hold one or two hours a day when you’re both online. Use it for a quick stand-up to see where projects stand and line up what’s next.

“So, there’s basically two models for working hours. Everybody works 40 hours a week at Regents. When the start time and finish time is on Monday through Friday is really up to you, within reason. Everybody is going to work at your time zone if that’s what you want them to do. Some people actually take advantage of the fact that they might be ahead or behind because maybe they feel like the virtual assistant would be more appropriately served before they get to work, or after, right? So, it’s really up to you, you know, within three or four hours of 8 to 5, however it works best for you. And then the second model is if you want people working on weekends or late at night. Um, those are also priced differently, um, just like they would be priced differently in the United States if you ask somebody to work on Fridays and Saturdays, and at 2 in the morning on Thursday and Friday, you’re probably going to pay them differently than 8 to 5 on Monday through Friday, right? So, it’s going to be the same in Mexico for Regents Remote.”
